Here’s How to Increase Team Productivity Using Automation

,

Productivity and employee engagement are paramount to a company’s sales and business growth. Organizations are constantly looking for new technology to create a workforce that is more productive, more efficient, and more innovative. Thankfully, there is no scarcity of tools, primarily as-a-service applications to perform one’s daily tasks and make life a little simpler.

However, with a lot of applications, comes a lot of data and it is a known fact that managing siloed data can be a costly affair - in both time and money. Since these applications do not communicate with each other, teams are left performing several repetitive tasks on a daily basis, which hampers organizational productivity.

At Built.io, we understand the importance of productivity and the need to unburden employees from time-consuming activities that detract from their high-priority tasks. We have collated a list of a few integrations that will enable you to:

  • Free up time and resources
  • Reliably automate manual, repetitive tasks
  • Submit data once and have it flow across all your systems and business processes
  • Eliminate duplicate entries and inconsistencies in data
  • Increase collaboration between teams and offer them access to real-time data
  • Get more done every day

Here are the integrations.

1.  Create meetings in Cisco Webex Teams for updated rows in Smartsheet

Using this workflow, you can set up team meetings, with the click of a button. The workflow is triggered as soon as you update a row in Smartsheet. It automatically creates a new space in Cisco Webex Teams, adds the concerned team members, and finally, notifies them about the meeting via an email and a message on the newly created space in Cisco Webex Teams.

This workflow can also be deployed for scheduling interviews with job candidates.

2.  Add rows to Google Sheets for new Cisco Webex Teams messages

With this workflow, each time a message is posted in a specified space on Cisco Webex Teams, it is automatically added as a new row in a particular spreadsheet on Google Sheets. Alternatively, you can read rows from Google Sheets and post them on a space in Cisco Webex Teams. This workflow can be used to keep team members updated about the status of their projects and tasks, with minimal manual intervention.

3.  Create Google Tasks for new messages posted in Cisco Webex Teams

Manage and track your tasks better with this workflow. It watches your Cisco Webex Teams account for new messages containing a specific keyword, and then adds that message as a new task to a specified list in your Google Tasks account. All you have to do is submit the expected keyword and Built.io will do the rest.

4.  Post messages to Cisco Webex Teams for new notes on Evernote and log them into Smartsheet

Evernote is one of the most popular note-taking apps for prioritizing your ideas, projects, and to-do lists. Using this integration solution, you can ensure that you stay organized and never lose track of the multiple action items listed in your Evernote account.

Here, there are two separate workflows. The first workflow posts a new message to Cisco Webex Teams, whenever a new note is created in Evernote.

The second workflow then adds the details of this new note as a separate row in a particular sheet in Smartsheet.

5.  Upload new attachments from Cisco Webex Teams to a specified folder in your Dropbox account

With this workflow, you can get your files auto-organized and save time spent on tracing that one file from multiple folders. Whenever a new attachment is posted in a particular space on Cisco Webex Teams, Built.io downloads the attachment and looks for the folder with the sender’s name in your Dropbox account. If the folder exists, Built.io uploads the attachment there. If the folder does not exist, the workflow first creates a folder with the sender’s name in your Dropbox account and then uploads the attachment there.

6.  Update CSV file in Dropbox for new messages posted on Cisco Webex Teams

Teams can use this workflow to automate the process of updating files stored in a tabular format. In this workflow, each time a new message containing a specific word is posted on Cisco Webex Teams, Built.io automatically appends the message details in the specified CSV file saved in your Dropbox account. For instance, if you have a CSV file titled ‘Lead List’ in your Dropbox account, you can add ‘lead’ as a keyword in the Filters, and any new message received on Cisco Webex Teams containing this word will be automatically appended in the CSV file.
